Project Coordination 'Information Control Point' (ICP)

Coordination Support "Keeps Everyone On the Same Page" and
Reduces Miscommunication,  Inefficiency, and  Costs.

SERVICE  DESCRIPTION:   PROJECT OR ROUTINE WORK COORDINATION.

Confusion and poor communication are among the chief causes of waste and cost over-runs.   T-21's Coordination service provides your organization with a central  Information Control Point (ICP) -  ensuring that:

Verified, Complete, and Accurate Information is Disseminated
from  One Central Place  to  All Participants.

An ICP is a repository for information,  keeping everyone accurately informed in a timely fashion.   This prevents confusion and misunderstandings, and avoids  wasted time, effort, and money.   Often, an ICP is developed in partnership with a proper  Change Control  program   (USE BROWSER "BACK" BUTTON TO RETURN HERE).

A
DVANTAGES OF A PROJECT COORDINATION SYSTEM.

An ICP helps manage and augment Routine Operations and Special Projects:

Routine Operations.

In most organizations - accurate, up-to-date, vital information isn't always readily available.   This precipitates wasted time and money, as people make mistakes or unnecessarily spend time searching for information.   A continually updated ICP helps people quickly determine who to contact and how to contact them and immediately clarify rumors.   It can rapidly instruct people on procedures and policies - without requiring management time.

An Information Control Point gives every employee / participant access to:

PERSONNEL, RULES, and BENEFITS

POLICIES:
Operational or
Procedural

RUMOR Control, Planned CHANGES

CONTACT and Other STAFF Information

NEWSNEW PERSONNEL, and Other Events

 .     .     .     .     .

Special Projects.

A Project is a non-routine activity for a specific purpose, requiring special information control.   While information for normal, iterative functions can be handled routinely - a Project attempts to accomplish something new and has more undefined areas  leading to wasted time and money, as well as confusion.

An ICP is most valuable when it provides information on the latest:

PROJECT  PLANS

CHANGES

TIMELINES

STATUS  REPORTS

STAFFING

INSTRUCTIONS

PROCEDURES

RESPONSIBILITIES

CONTACT  INFO.

An ICP must quickly convey the same accurate, up-to-date information to everyone at the same time, without a "paper chase" or "e-Mail maelstrom."

P
ROJECT COORDINATION  SYSTEM  PERFORMANCE.

Well-designed Coordination systems work very well.   However, some organizations haven't yet implemented them because they may not have tallied-up the large, avoidable costs of:

  • Wasted Effort / Mistakes - Due to Missing, Poor, or Inaccurate Information

  • Time Spent Searching for Updated Information (calls / e-Mail)

Once an Information Coordination system is implemented - increased efficiency and reduced costs are tangible.   You've probably seen situations where  confusion reignede-Mails proliferated, and  coordination / clarification meetings were held frequently.   Some project participants complain that they spend more time going to meetings than doing the project's primary work.

In a Project environment, changes and revisions can sometimes occur so frequently that contradictory e-Mails stack up and no one can keep track of  what's being done,  who's doing it, and when it's being done.   This fosters mistakes, work conflicts, and wasted money.

The only way to overcome this situation is to institute a Coordination system, featuring an Information Control Point and, many times - a  Change Control Program.   As verified information flows to the Control Point, everyone can easily reference this single source for the latest, most accurate and complete information.   It's simple, effective, inexpensive, and well worth the effort.

This secure Internet (or Intranet) based service allows everyone to retrieve information at any hour of any day, from almost any location.   If ICP users need information after-hours, on holidays, or while traveling - it's advisable to establish the ICP service as a secure Web Site.

While on-site, traveling or in after-hours situations - it's invaluable to be able to find out how to contact someone or obtain needed information.   Imagine having, at your fingertips, a concise, up-to-date log of events, changes, and schedules - at your desk or in an airport or hotel room.   All this can be available without sorting through scores of separate e-Mails and piecing together the current situation.   A good Coordination system is powerful and provides savings - larger than you might ever imagine.
