Formal Presentations

 

Almost every organization and many individuals have to make a high-quality presentation, sometime - either for  loansnew clientsemployeesgroupscourtroomsboards of directors - or others.

Following are two T-21 examples of how professional Presentations helped with this service:

ABORATORY EQUIPMENT MANUFACTURER.  
 

Problem.    A medium-sized company, producing high-quality laboratory equipment, was one of three finalists bidding on a large-volume sale.   The decision hinged on price, quality, and ability to deliver on time.   The owner contacted T-21 for help with a formal presentation about his company, its products, and its bid.
 

Plan.   The owner was knowledgeable about his products, but no one in his company had experience with formal presentations.   His Team Manager (TM) said a Presentations Team could help construct a computer slide-show presentation with an accompanying written report.   It would include eye-catching, straightforward graphs, photographs and "key point" text.   After a short discussion, the owner agreed.

The T-21 Team drafted an initial outline and received approval for it.   Using information about the company's products and the bid, they produced several drafts for the company's review and approval.

The final copy was forwarded to the owner one week ahead of the scheduled presentation date, allowing adequate rehearsal time.   The TM even listened by telephone and offered suggestions, as the owner gave a dry-run delivery.
 

Result.    When his company was awarded the bid, he commented to his TM, "I was scared to death when I walked in there, but the script and images led me through it.   It worked just like I practiced it.   You helped us land a really good contract and we appreciate it."

OURT PRESENTATION.  
 

Problem.   A law office represented someone who was severely injured in a complicated multiple-vehicle collision.   Explaining the complex sequence of events to a jury was critical to a trial.   The attorneys contacted T-21 for help in illustrating, simply, what transpired.   Their Team Manager (TM) asked if the attorneys preferred a computer-based, projected presentation or a paper flip-chart.   They chose a paper-based presentation for easy referral during testimony.   
 

Action.   A T-21 Presentations Team was assembled and the attorneys sent a summary of deposition transcripts, describing the location, types, sizes and positions of the vehicles, and the progression of events that culminated in the collision.

From the estimated speeds, derived from statements in the Discovery phase of the lawsuit, the T-21 Team computed relative positions of all involved vehicles - before, during and after the collision.    The Team displayed these in a series of rough-draft time-shot graphics from an overhead perspective.   The attorneys then checked them, to ensure that the exact sequence had been captured properly.

For continuity, each time-shot graphic showed the position of each vehicle with trace lines from the previous position;  pertinent points about each event were included as brief text.   The final graphic image summarized the events and text noted the errors made by each driver.

The attorneys reviewed the drafts then approved final production.   They also requested scaled, moveable templates with adhesive backs, to represent the vehicles involved.   They planned to use these on a separate scaled drawing, devoid of vehicles, for rebuttal of testimony.   The Team soon completed the final drawings and templates and forwarded them to the firm.

Graphic images of each involved vehicle were labeled and color-coded.   Other vehicles, not directly involved in the accident, were shown in a neutral gray color and positioned at their approximate location at each time shot.   Stoplight colors at each time-shot were also shown.   The final drawing summarized the progression of the accident, so the complex events were easy to understand.
 

Results.   T-21's work was crucial to a successful outcome.   The lead attorney commented that the charts were invaluable as they clearly demonstrated the collision's events, despite obfuscation tactics used by defense attorneys.   He said that after testimony, using the T-21 charts as reference, a settlement offer was made and accepted.   Commenting on T-21's work, he said, "The analysis and display detail you all did, pointed out some subtle points that we hadn't recognized before.   It was impressive work!"
